Holiday clubs terms and conditions

Eligibility:
The Spanish Singing Holiday Clubs (Half-term, Easter, Christmas, Summer) are open to primary school-aged children only. We cannot accept children outside this age group. -
Limited Spaces:
Spaces are limited and are offered on a first-come, first-served basis. Early booking is recommended to secure a place. A waiting list will be in place and parents will be contacted if a place becomes available. In special circumstances, we may increase the number of spaces available and notify parents accordingly. -
Ofsted Registration:
Due to the nature of the activities run and the age of the children, there is no requirement for our holiday clubs to be registered with Ofsted. In any case, we follow standard educational and pedagogical methods to ensure children learn as they have fun. -
Requirements for the club:
Children must be dressed comfortably. They are welcome to wear fancy dress, but a suitable change of clothes must also be available should they become tired of wearing their fancy costumes. Each child must also bring the following each day:-

A packed lunch​
Please ensure that all food and drinks are nut-free to protect those with allergies. Children are not allowed to share food to avoid issues with allergies or intolerances, as well as parental preferences.

Daily Schedule:
A daily schedule will be provided in advance. However, this schedule may change based on the needs and dynamics of the day. -
Fees and Payment:
Full payment of fees is required within 48 hours of receiving your invoice to confirm your child’s place. By accepting the terms and conditions during booking, you agree to this payment requirement. -
Refund Policy:
All fees are non-refundable. However, if your child is unable to attend due to a medical reason, credit will be applied to future bookings, provided that proof is submitted. -
Use of Photos/Videos:
We may take photos and videos of the children participating in activities during the holiday club. These may be used for promotional purposes on our website and social media channels. Consent for the use of your child's image or video is requested through the booking form. If you do not wish for your child to appear in any media, you can indicate this preference in the form. -
Data Protection (GDPR Compliance):
We are committed to protecting your personal data in accordance with the General Data Protection Regulation (GDPR). The personal information provided during the booking process will only be used for the purposes of administering the holiday clubs, including communication with you about your child's participation. Your data will be stored securely and will not be shared with third parties without your explicit consent, unless required by law. You have the right to request access to, correction of, or deletion of your personal data at any time. For any data-related queries, please contact us directly. -
Safeguarding and Child Protection Policy:
We are committed to safeguarding and promoting the welfare of all children attending the club. Any staff members undergo the appropriate vetting processes, including Disclosure and Barring Service (DBS) checks. If any safeguarding concerns arise, they will be handled in line with our safeguarding policy, and appropriate authorities may be contacted. -
Health and Safety Policy:
All activities will be conducted with appropriate risk assessments to ensure the safety of all children. We will aim to have a qualified first aider present on-site, and in the event of an accident or injury, first aid will be administered, and parents will be informed. Emergency procedures, including evacuation plans, will be in place (by the hired venues) and communicated to staff and children. -
Medical Information and Consent:
Parents are required to inform us of any medical conditions, allergies, or special needs their child may have before the club begins. If medication is required during club hours, we must be informed in advance, and written consent via email must be provided. In the event of a medical emergency, by agreeing to these terms, you give consent for us to seek emergency medical treatment for your child if necessary. -
Behaviour Policy:
Children are expected to follow our Code of Conduct to ensure a safe and enjoyable environment for all. If a child displays inappropriate behaviour that disrupts the group, staff will take appropriate action. Continuous misbehaviour may result in the child being removed from the club, with no refund provided. -
Liability and Insurance:
While we take every measure to ensure the safety of all children, we are not liable for any accidental injuries that occur during the normal course of activities, unless proven to be due to negligence on our part. We hold appropriate public liability insurance to cover any unexpected incidents. -
Equal Opportunities Policy:
We are committed to providing equal opportunities for all children, regardless of race, gender, religion, disability, or other protected characteristics. We aim to create an inclusive and welcoming environment where every child can thrive. -
Privacy Policy:
In addition to the GDPR compliance clause, we collect and process personal data solely for the purposes of managing bookings, ensuring children's safety, and meeting legal obligations. Personal data will be stored securely and only retained for as long as necessary for these purposes. Complaints Procedure:
If you have any concerns or complaints, please contact us directly. We will aim to address your concerns promptly and professionally. For formal complaints, you can submit a written complaint via email, and we will follow our complaints procedure to resolve the issue. -
Late Collection Policy:
We ask that children are collected promptly at the end of the club. If a child is not collected on time, we reserve the right to charge a late collection fee. Repeated late collection may result in the child’s place being revoked. -
Parental Responsibilities:
Parents are responsible for providing accurate and up-to-date information, including emergency contact details, medical information, and any special requirements. Please ensure we are informed of any changes to your child’s details throughout the period of the club. -
Force Majeure:
We shall not be held liable for cancellations or changes to the club due to events outside of our control, such as extreme weather, natural disasters, pandemics, or other force majeure events. In such cases, we will endeavour to provide alternative arrangements or credit for future bookings where possible. -
Updates to Terms and Conditions:
We reserve the right to update these terms and conditions at any time. Parents will be notified of any changes via email, and the updated terms will be posted on our website. -
Acceptance of Terms:
By completing the booking form, you acknowledge that you have read, understood, and agree to these terms and conditions.
